Office Manager for vibrant, warm synagogue community

Office Manager

Canton, MA congregation with 250+ families and an innovative Religious School is seeking a friendly and organized professional to manage day-to-day operations. Reporting to the President, this position is the backbone of our organization’s work to be a center of Jewish communal life.
Candidates should have experience working with and managing people in a warm, clear and supportive way, ideally in a membership organization; managing processes used by multiple people; a demonstrated ability to learn new tasks; and calmly and effectively manage multiple priorities. Candidates must enjoy managing and supporting others, and have excellent computer and communication skills.

Responsibilities:
Communications –
• Serve as positive, encouraging, and welcoming face and voice of the congregation
• Direct incoming phone calls, mail, and emails with excellent customer service skills
• Handle multiple priority inbound and outbound congregant requests with grace, efficiency, and accuracy
• Coordinate multiple weekly and special email communications
• Update website and social media to ensure information is current
• Help prepare for and participate in monthly Executive Committee meetings (usually 1st Sunday of each month at
9:30 A.M.)
• Seek frequent guidance from the President on policy and implementation questions

Administrative –
• Work closely with the Rabbi and President
• Coordinate work with office staff and custodian, in conjunction with others
• Coordinate transfer of financial data and reports with Treasurer and outside accounting service
• Manage master calendar for all congregation activities to ensure correct facility setup and minimize timing conflicts
• Process membership applications promptly and ensure membership records are up-to-date; share promptly with relevant Committees
• Support work of Board of Directors, Committees, and Religious School

Office Management –
• Coordinate facilities management, including office and equipment maintenance and management of outside vendors
• Assist with building security system
• Perform office administration activities
• Supervise file management and record-keeping
• Order supplies within budget and maintain records
• Coordinate extensive preparation for High Holidays, including equipment rental, parking arrangements, Yizkor book preparation, and more

Requirements:
• Experience with Microsoft Office Suite, and Google Workplace applications (e.g., Google Docs, Google Drive) is needed; familiarity with QuickBooks and ShulCloud is a plus
• 5 years of administrative and supervisory experience in the areas described above
• Ability to learn new software and processes quickly/efficiently
• Familiarity with Jewish holidays, customs, rituals, and synagogue life is extremely helpful but not required
• Successful candidate must be fully vaccinated and willing to follow the congregation’s COVID safety protocols

This is a 32 hours/week in-person position. Paid Time Off includes Vacation and Sick Time (to be negotiated) and most Federal and Jewish holidays.
